The UHMIS Lead Agency may make minor changes to this document to keep up with current data standards and document changes in the version history. The UHMIS Steering Committee will approve changes to
training beyond minor updates to maintain compliance with data standards by a majority vote before they are implemented.1
Required Training for Users
All UHMIS end-users must complete the training associated with their user type to gain or maintain
access to UHMIS. The UHMIS Lead Agency may determine additional training requirements for the user.
Any person requiring access to UHMIS as a part of the person’s job duties must complete the following before being granted access to the live UHMIS database. While it is recommended that a new end-user follow the steps outlined below, it is not required to follow them in order.
Users who need additional training (e.g., administration, shelter staff, etc.) are strongly encouraged to complete this basic new end-user training before starting additional training.
New end-user training by user type
2a.1: End-User
- Attend a new end-user training led by UHMIS Lead Agency
- Attendance may be either via web conference or on-demand.
o Complete the new end-user homework assignment on the training site. - Submit a signed UHMIS End-User Agreement
2a.2: DV Coordinated Entry Users
- Attend a UHMIS: DVSP Coordinated Entry new end-user training led by the UHMIS Lead Agency.
- Attendance may be either via web conference or on-demand.
o Complete the new end-user homework assignment on the training site - Submit a signed End-User agreement, found in UHMIS End-User Agreement
2a.3: Read Only Users
- Attend a UHMIS: Find Client New End-User training led by the UHMIS Lead Agency.
o Attendance may be either via web conference or on-demand. - Submit a signed End-User agreement, found in the UHMIS End-User Agreement.
2a.4: Coordinated Entry Only Users
- Attend a UHMIS: Coordinated Entry new end-user training led by the UHMIS Lead Agency.
o Attendance may be either via web conference or on-demand. - Complete the new end-user homework assignment on the training site
- Submit a signed End-User agreement, found in the UHMIS End-User Agreement
2a.5: Power Users
- Complete training required in B.1a: End-User.
- Complete any additional training the UHMIS Lead Agency requires.
2a.6: System Administrator
- Complete training required in B.1a: End-User
o After access is granted, complete all ongoing end-user training to ensure total system
knowledge. - Participate in HUD-approved training opportunities for HMIS system administrators at least once
annually. - Complete training as provided by the UHMIS software vendor.
2a.7: Department of Technology Services
- Complete training required in B.1a: End-User.
- Complete any additional training the UHMIS Lead Agency requires.
2a.8: CoC Collaborative Applicant
- Complete training required in B.1a: End-User.
- Complete any additional training the UHMIS Lead Agency requires.
2a.9: Funders
- Complete training required in B.1a: End-User.
- Complete any additional training the UHMIS Lead Agency requires.
2a.10: Others
- Complete training required in B.1a: End-User.
- Complete any additional training the UHMIS Lead Agency requires.
Open Office Hours
The UHMIS Lead Agency will provide regular open office hours to all UHMIS users to troubleshoot any UHMIS-related issue. Hours will be posted on UtahHMIS.org/Calendar. All UHMIS users and those working through new end-user training are welcome to attend and ask questions as needed.
Users That Move from One UHMIS Accessing Organization to Another
UHMIS policy if end-users change their organization
When users leave one UHMIS-using organization and move to another HMIS-using organization, they will be allowed to skip new end-user training if:
- The user has passed the annual recertification test with an 80% or higher score.
- The UHMIS Lead Agency will maintain a record of who has passed each year’s Annual
recertification test until the following year’s test has been completed. - The user first became active after the last recertification test was required and has passed all new end-user requirements.
UHMIS Lead Agency will require the user to sign a new end-user agreement with the new organization before access is granted. UHMIS Lead Agency may require additional training on a case-by-case basis after reviewing the users’ prior access.
